Start with a representative product

Choose a garment that includes the fields your collection typically needs. A product with known composition, a clear production journey and available care instructions is a better pilot than the most complicated item in the catalogue.

Identify who knows the product and who will maintain its data after launch. Before preparing a spreadsheet, agree which source is authoritative when two existing files disagree.

Map existing columns to the import template

Use the Item Twin product import template. Match your existing product names, identifiers, composition values and supplier references to the template’s fields. Preserve identifiers as text where necessary so spreadsheet formatting does not remove leading zeros.

Do not combine unrelated concepts into one cell simply because they currently live together in a legacy spreadsheet. Keep product identifiers, material composition and supplier references in their own fields.

Review validation results before completing the import

Check the preview and validation results. Resolve identifier problems, inconsistent composition and unknown supplier references before saving the imported records. Repeated errors often point to a problem in the source file that should be fixed once, rather than corrected separately on every product.

Ask the person responsible for the information to resolve uncertain values. A technically accepted row can still contain inaccurate business data; format checks and factual review serve different purposes.

Inspect the customer-facing passport

After importing the pilot, open its product record and check for missing product information. Then inspect how the information is presented in the passport. Check that the product image, composition, origin and care information are understandable without internal company shorthand.

If supplier names should not be shown to consumers, turn off public supplier names. The consumer view can still present production stages and countries.

Print one label before creating a batch

Generate a test QR label and scan it from a phone. Confirm that the address opens the intended passport, that the product identity is correct and that the text is useful on a small screen.

Once the pilot works, apply the same review process to the next batch. Record the owner of the import, the source file used and any unresolved data collection tasks.

Keep published records up to date

A new supplier, corrected care instruction or changed document can affect a published record. Establish a regular review process and keep an export of your data when your team needs a portable copy.

Item Twin organises product information and makes it accessible through a stable QR address. Your team remains responsible for checking and maintaining the details it publishes.
